Automated Payroll System integrates seamlessly with TMT’s Back End Systems

 

The Challenge
THE MEDICAL TEAM, INC. (TMT) www.medicalteam.com is a diversified healthcare services company with offices in New Orleans and Houma, Louisiana; San Antonio, New Braunfels, Austin and Brownsville, Texas; Reston, Annandale and Leesburg, Virginia; and Detroit (Livonia) and Flint, Michigan. A major part of TMT’s business is providing direct care to seniors needing assistance with daily living activities and certified home healthcare-based services. TMT has thousands of nurses, aides, and therapists working in the field. Managing these employees is challenging.

To improve overall operations efficiency and allow business growth without growing overhead, TMT purchased a telephony-based time and attendance system from a large name payroll services company. The initial implementation failed when integration with TMT’s key client management, payroll, and billing systems could not be achieved. After subsequent implementations from two other vendors failed, TMT decided to build a system from the ground up.

“Now, we have a system that does everything we could have possibly hoped for, leveraging all of the latest technologies to help ensure the system will remain fresh for years to come,” said Ted Tzirimis, Director of Operations Analysis at TMT.

The Solution
TMT contracted with Allin Consulting to build a solution based 100% on TMT’s needs. A few requirements changed during the development process and Allin responded to them, implementing the solution according to TMT’s requirements. The new, custom built clock in/clock out telephony system automated the former paper-based payroll system and integrated with TMT’s backend client management, payroll, and billing systems.

TMT’s employees can dial an 800 number at any time to listen to their schedule for any day. The schedule is always up-to-date, as the system reads directly from TMT’s backend systems. The employee can ask for a clock in/out. The system decides whether it is a clock in or out and which scheduled visit by comparing the employee’s caller ID with client records and the employee’s schedule. The system can match manually entered phone numbers, and also permits unscheduled clock in/outs.

The Benefits
Once a very manual and error-prone paper-based process, TMT’s payroll is now fully automated. The new telephony-based system is both cost effective and efficient, saving TMT employees substantial time processing payroll and eliminating paper costs.
